Sports businesses deserve
better than a spreadsheet.
India is building gyms, turfs, academies and pools faster than the software to run them. ArenaPilot exists to close that gap, starting with the money that quietly leaks out of well-run facilities every single month.
Our mission
Give every sports facility, from a one-room gym to a multi-sport complex, the operational clarity that until now only large chains could afford. Know who your members are, know what you’re owed, and know it without staying late to work it out.
Our vision
One operating system for every sports business. Whether you run a gym, a turf, an academy or all three, the same platform should handle your members, your money and your growth, so adding a sport never means adding a vendor.
The problems we set out to solve.
Not abstractions. These are the four things facility owners describe when you ask them what their week actually looks like.
Members who leave without being noticed
Churn in a sports facility is rarely dramatic. Someone stops coming, their membership quietly expires, and nobody has a system that would have flagged it in week two. We make lapsing a visible event.
Owners doing data entry at 11pm
The person who should be growing the business ends up reconciling a cash book. Every hour ArenaPilot removes from admin is an hour returned to the floor, the members and the plan.
Software built for somewhere else
Most facility software assumes card-on-file, monthly direct debit and a Western billing model. Indian facilities run on cash, UPI, instalments and part-payments. We built for that reality first, not as a localisation afterthought.
Numbers nobody fully trusts
When collections live across a register, a spreadsheet and three staff members' memories, the monthly revenue figure is an estimate. An immutable audit trail turns it back into a fact.
“A facility doesn’t lose members in one dramatic moment. It loses them in a hundred small ones nobody was watching for.”
Built for the people who run the place.
Owners, managers and front-desk teams at facilities where the software has to work at 7am with a queue forming.
Gyms & fitness studios
From 200-member independents to multi-branch chains, live on ArenaPilot today.
Turfs & courts
Football turfs, cricket nets and badminton courts running slot-based and recurring bookings.
Sports academies
Coaching academies managing batches, coaches, attendance and term-based fee cycles.
Pools & swim schools
Lane capacity, level progression and season passes, with the safety records to match.
Multi-sport complexes
Facilities running several sports under one roof that need one member record and one ledger.
Corporate & community facilities
In-house and society-run facilities that need clean records and defensible reporting.
How we decide what to build.
These aren't values on a wall. They're the rules we use to settle arguments about scope, and they're why some obvious features aren't here yet.
Ship what's real
Roadmap is labelled as roadmap. If a product isn't built, it doesn't get a link, a price or a feature tick. The fastest way to lose an owner's trust is to sell them something that only exists in a deck.
Money is never approximate
Payments write through a single trusted path with an immutable audit trail. Edits, refunds and cancellations are recorded, never silently rewritten. If the ledger and the cash box disagree, the software should be able to tell you why.
Design for the front desk
The person using this most isn't the owner, it's whoever is at the desk at 7am. Every screen is built to be operable by someone who was trained for twenty minutes, mid-conversation, with a queue forming.
Isolation is not a setting
One facility can never see another's members, payments or plans. That boundary is enforced on every request by signed claims, not by a query filter someone has to remember to write.
Build the platform, not six apps
Members, payments, dues and roles are shared services. Every new sport inherits them fully formed. This is slower at the start and dramatically faster from the third product onward.
Earn the next feature
We'd rather do member management, payments and renewals properly than do fifteen things adequately. Scope grows when the current scope is genuinely solid.
Your members' data, handled properly.
You're handing us your member list and your revenue history. These are the commitments that come with that.
Per-facility data isolation
Your members, payments and plans are hard-partitioned from every other business on the platform, enforced at the data layer on every request.
Immutable financial records
Every payment, edit, refund and cancellation is written to a permanent audit trail with the actor and timestamp attached.
Role-based access
Front-desk staff, managers and owners each see exactly what their role requires. Revenue totals stay owner-only by default.
Your data stays yours
Export what you've put in. No lock-in tactics, no holding your member list hostage at renewal time.
The long-term roadmap.
We publish this because a platform is a multi-year commitment, and you deserve to know whether the thing you're adopting has somewhere to go.
- The starting point
A gym, a register and a spreadsheet
ArenaPilot began with a specific, unglamorous observation. Facility owners were losing real money to problems that were entirely trackable: lapsed renewals, uncollected dues and enquiries nobody followed up.
- Shipped
Gym CRM in production
Member CRM, plans, payments and dues, renewal automation, self sign-up, GST invoicing, attendance, multi-branch roles and revenue analytics, running with Early Access facilities today.
- Now
Early Access
We're onboarding a deliberately small group of facilities. They get launch pricing locked in; we get the unfiltered feedback that decides what's built next and in what order.
- Next
Turf CRM and Sports Academy CRM
Slot booking and recurring team bookings, then batches, coaches and term fee cycles. Both are built on the same members, payments and ledger that Gym CRM already uses.
- The long game
The operating system for sports businesses
Swimming, fitness, multi-sport complexes, and the platform services underneath them all: WhatsApp automation, retention intelligence, deeper reporting and a public API.
Built by YoTechSYS
ArenaPilot is developed and operated by YoTechSYS, a product engineering company based in India. We build software we’d be willing to run a business on, which is a higher bar than software that demos well.
Help shape what gets built next.
Early Access facilities decide our roadmap order, and lock in launch pricing while they're at it.
